PURPOSE AND LEGAL BASES FOR THE PROCESSING OF PERSONAL DATA

We process your personal data based on contractual agreements or upon your request, pursuant to Article 6(1)(b) of the General Data Protection Regulation (GDPR), for the purposes of:

We process your personal data to comply with our legal obligations pursuant to Article 6(1)(c) of the GDPR, specifically for the purpose of:

  • Responding to requests for exercising the right to access information.

  • Maintaining records of visitor arrivals at OIV-owned or managed premises

We process your personal data based on consent pursuant to Article 6(1)(a) of the GDPR for the following purposes:

  • Ensuring the optimal functioning of all website features and enhancing the user experience
  • Issuing "long-term" access permits to OIV facilities.

PERSONAL DATA PROCESSING THROUGH VIDEO SURVEILLANCE

The video surveillance system used to protect the infrastructure and data owned or managed by OIV is part of an integrated technical protection system designed to safeguard individuals and property. The legal basis for processing is the legitimate interest of OIV as the data controller. Video recordings obtained through the video surveillance system are kept for up to 60 days, or longer if they are retained as evidence in judicial, administrative, arbitration, or other proceedings. We may supply video recordings to relevant authorities upon request if required for legal proceedings.

COOKIE POLICY

The official websites of OIV use text files called cookies, which are stored on the user's computer by the web server used by the Internet Service Provider (ISP) to display the web page. When the browser on the user's device loads the visited website, it sends data to the browser, which then creates a text file. The browser retrieves and sends this text file to the web server upon the user's return to the site.

DISCLOSURE OF PERSONAL DATA

Based on signed data processing agreements, we may share your personal data with providers of IT and communication solutions and services who act as data processors. The data processing agreement prohibits the processor from processing your personal data without our instructions and from disclosing it to third parties.

PERSONAL DATA SECURITY

OIV is dedicated to continuously enhancing the security of personal data through its internal personal data security management system, as outlined in its data protection policy. The scope of this system encompasses all of OIV’s operations, including all employees, suppliers, and external collaborators, as well as the company’s processes, technologies, and services across all OIV locations. OIV collects and processes personal data in a manner that ensures an appropriate level of security and confidentiality, facilitating the effective application of data protection principles, including the minimization of personal data processing, reduction of the scope of personal data processing, limitation of storage periods, and restriction of access. OIV implements appropriate technical and organizational measures to prevent accidental or unlawful destruction, loss, alteration, unauthorized use, disclosure, or access to personal data. Additionally, OIV ensures that personal data processed for legitimate and intended purposes are accurate, complete, and up-to-date. All employees of the data controller commit to protecting personal data by signing a Confidentiality and Impartiality Statement. Access to personal data is granted to authorized employees on a "need to know" basis.

RETENTION PERIOD OF PERSONAL DATA

We process your personal data until the purpose for which it was collected has been fulfilled. Once this purpose is fulfilled, we shall cease using your personal data, and it shall be retained in our storage system in compliance with relevant laws and regulations.
